In this release Members and Visitors booking online will be asked to provide consent for marketing transactions via Email, Text Message and Post. Also, they will be asked to consent to your Golf Club’s Privacy Policy and Terms and Conditions.
Members Booking Module, Clubhouse PC and Members App
- An existing Member, who has previously registered to use BRS, has already consented for email and text message marketing. These members can change their marketing preferences at any time through the My Account page in the Members Booking Module and Members App.
- Existing Members will be prompted to accept the Privacy Policy and Member Terms and Conditions the next time they log into the Members Booking Module, Clubhouse PC or the Members App (capturing fresh consents from your existing Members!)
- At any point in the future, if you make a change to your Privacy Policy, Member Terms and Conditions and/or Marketing Preferences message, Members will be prompted again to provide consent the next time that they login to the Members Booking Module, Clubhouse PC and/or the Members App.
- When a new Member registers to use the Members Booking Module or the Members App, they will be asked to provide their marketing preferences. However, be aware that acceptance of your Privacy Policy and Member Terms and Conditions needs to be completed outside of the system.
- Members that previously registered to use the Members Booking Module may have provided marketing consent. Where they have provided such consent, these are being converted to Email and Text Message marketing consents.
- Members using the Members Booking Module can view your Privacy Policy and Member Terms and Conditions in a popup modal screen (you should therefore ensure that you have inserted verbiage and/or links to your Privacy Policy and/or Members Terms as soon as you can).
Visitor Booking Module
- Each time a Visitor books a tee time through the Visitor Booking Module, they will be asked to consent to your Privacy Policy in addition to the current Visitor Terms and Conditions (your Visitor Terms and Conditions may not be too dissimilar to your Members Terms and Conditions).
- Visitors will have the option to provide consent for marketing transactions via Email, Text Message and Post.
- Visitors that previously booked online will who have provided marketing consent – similar to Members these are being converted to Email and Text Message marketing consents.
- Visitors can view your Privacy Policy and Visitor Terms and Conditions is a popup modal screen (so again you should insert the verbiage and/or links as soon as you can).
Tour Operator Module
- Your Privacy Policy and Visitor Terms and Conditions now display in a popup modal screen.
- When a Tour Operator is making a booking, the system records that the consents to the Marketing message, Privacy Policy and Visitor Terms and Conditions were provided by the tour operator rather than the golfer directly. So you should ensure that you have the correct contractual obligations in place with the Tour Operator and that they follow procedures and policies to ensure they are sufficiently capturing consents (in particular marketing consents) from visitors. In in doubt, please seek independent advice on this.
Admin Module - Users
- The person creating a new User record can set the marketing preferences for that user, and must confirm that the user has read and accepts the Privacy Policy and Terms and Conditions.
- When viewing existing User records, there’s a new Preferences button at the bottom of the User Details page which will allow you to change the marketing preferences for a user/member.
- Golf Club staff can change their own marketing preferences through the Your Details page.
Admin Module - Contacts
- The person creating a new Contact record, through the Add Contact page can set the marketing preferences for that contact, and must confirm that the contact has read and accepts the Privacy Policy and Terms and Conditions.
- If you are adding a new Contact through the Booking Details form you can set the marketing preferences for that contact. However, be aware that acceptance of your Privacy Policy and Visitor Terms and Conditions needs to be completed outside of the system (you should look to ensure you have a way of easily sending these documents, which may include having them visible on your website, in hard copy in the pro-shop or being able to send them via email if requested by the Member/Visitors).
- If you are editing an existing Contact, either through the Contacts page or the Booking Details page, you will be able to change their marketing preferences. Again it is assumed that acceptance of the Privacy Policy and Terms and Conditions is completed outside of the system.
Legal Messages
- To allow Golf Clubs time to develop their Legal Messages we are a providing a default as follows:
- Privacy Policy default is "Our privacy policy is available on request.”
- Visitor Terms and Conditions default is "Our Visitor Terms and Conditions are available on request.”
- Member Terms and Conditions default is "Our Member Terms and Conditions are available on request.”
Admin Module - Email Messaging & Text Messaging
- The user can identify the message as a Marketing message. When selected the display will refresh and show only those Contacts/Users that have consented to receive marketing emails or marketing text messages.
- Once the message has been sent you will be able to look back and see if the message was identified as a marketing message.
Emails
- If the member or contact receiving the email has not consented to marketing emails, the system removes the banner ad from the email message.
- All marketing emails will include an Unsubscribe option. If the golfer chooses to unsubscribe, a confirmation screen displays.
Emailing Tool
- When sending an email to Members or Contacts, the user can now identify that the email is a Marketing Email. When selected, the form refreshes and displays the email marketing consent for each Member/Contact in the list. If a Member/Contact has not consented they cannot be selected as a recipient of the email.
- All emails sent through this tool are now in HTML format.
Text Messaging
- If you use the text messaging Tool, you’ll see a warning message noting that as it is not possible for the recipient to opt out of text messages, this feature should not be used for marketing Text Messages. We are working on providing a Stop facility in text messages.
